In this guide, we’ll walk you through the entire process of obtaining a Belgium visa from Bangladesh.

How to Apply for a Belgium Visa from Bangladesh?

Belgium is part of the Schengen Area, which includes 27 countries. If you have a visa from any other Schengen state, you can travel to Belgium without any issues.

However, if Belgium is your main destination or the first port of entry into the Schengen Area, you need to apply for a Schengen visa through the Belgium consulate. Unfortunately, Belgium does not have a diplomatic mission in Bangladesh. Instead, it has an honorary consul, but this office does not process visa applications.

Where should you apply for a Belgium visa in Bangladesh?

Belgium’s official representative in Bangladesh is the Embassy of Sweden. If you wish to apply for a short-stay Schengen visa (Type C) for up to 90 days, you must submit your application through the Swedish Embassy in Dhaka.

Please note, the Embassy of Sweden only processes Belgium visas for the following purposes:

  • Tourism
  • Visiting family or friends
  • Cultural or sports events
  • Business trips or short-term traineeships
  • Transit through the Schengen Area

If you plan to stay in Belgium for a longer period or for other reasons, you will need to submit your application at the VFS Visa Application Center in New Delhi.

1. Submit Your Application to VFS Sweden

As mentioned earlier, the Embassy of Sweden in Dhaka represents Belgium for short-term stay visas. They work with the external service provider (ESP), VFS Global, to collect visa applications.

The Sweden Visa Application Center (operated by VFS) in Dhaka accepts applications without requiring an appointment. This means you can prepare your documents and submit your application directly to them.

How to get started?
First, download the visa application form, fill it out, and gather all the necessary documents. Once everything is ready, you can visit the Sweden Visa Application Center and submit your documents. Be prepared to pay the visa fee in cash at the VFS Global office when you submit your application.

What is the visa fee?
The Belgium Schengen visa fee is as follows:

  • For adult applicants: 80 euros
  • For children aged 6 to 12: 40 euros
  • Children under 6 are exempt from the visa fee

The fee must be paid in Bangladeshi Taka (BDT), and the exchange rate may vary over time.

Documents Required for Belgium Visa from Bangladesh

Since the Sweden Embassy in Dhaka processes Belgium visa applications, the required documents are based on the Sweden embassy’s guidelines.

  • Visa Application Form: Complete and sign the application form. You can download it [here].
  • Valid Passport: Your passport must be valid for at least 3 months beyond your planned departure from the Schengen Area. It should have at least two empty pages for visa stamps.
  • Passport Photo: One recent passport-sized photograph meeting Schengen visa requirements, with a white background.
  • Air Ticket Booking: A copy of your airline booking. (Note: This is optional but recommended).
  • Proof of Accommodation: Provide proof of where you’ll stay, such as a hotel booking for tourism or an invitation letter if staying with a host in a Schengen country, including details of your accommodation.
  • Schengen Travel Insurance: Health insurance covering your entire stay in the Schengen Area with a minimum coverage of 30,000 Euros.
  • Civil Documents: Proof of your civil status, such as a marriage certificate, divorce certificate, or birth certificate for a child.
  • Financial Documents: Evidence of sufficient funds to cover your stay. You can submit documents such as fixed deposit receipts (FDR), Sanchaypatro, or investment papers.
  • Bank Statement: A bank statement for the past 6 months, showing your income, expenses, and disposable funds.
  • Cover Letter: A detailed cover letter explaining the purpose of your visit, your travel plans, daily itinerary, financial situation, and profession. Address this letter to the Embassy of Sweden.

Additional Documents for Employed Individuals

  1. Forwarding Letter: A letter from your current employer or company owner, outlining the purpose of your visit to the Schengen Area.

  2. Employment Documents: An employment certificate from your employer that includes your full name, job title, salary, and duration of employment. The certificate should also provide the company’s address, phone number, and fax number. Additionally, the name and position of the authorized signatory should be included

 

Additional Requirements for Self-Employed Individuals

  1. Trade License: A copy of your current business trade license, translated and notarized.

  2. Incorporation Certificate: A certificate of incorporation issued by the Registrar of Joint Stock Companies, if your business is registered as a limited company.

  3. Tax Documents: Include your TIN certificate, tax certificate, acknowledgment copy, and assessment copy of tax-related documents.

  4. Business Bank Statement: A bank statement for your company covering the past 6 months.

Additional Requirements for Students

  • Proof of Enrollment: A document confirming your enrollment in an educational institution in Bangladesh.

  • Leave of Absence Letter: A certificate of leave of absence if you are traveling during the academic year. This letter should be issued and signed by the head of the department or institution, including the institution’s full address, telephone number, the granted leave permission, and the name and position of the authorizing person. If the trip is related to school, a letter from the institution outlining the trip’s purpose, duration, and destination is required.

Additional Requirements for Minors

  • Parental Consent: A consent letter from the parents or legal guardian if both parents are not traveling with the minor.

  • Passport Copy: A photocopy of the passport(s) of the parents or legal guardian.

  • Proof of Financial Means: Evidence of the financial capability of the parents or legal guardian (refer to previous requirements).

  • Birth Certificate: The original birth certificate of the minor, issued by an authorized authority.

Additional Documents for Visiting Friends & Family

  1. Proof of Relationship: Evidence of your relationship with the person you are visiting (e.g., family ties).

  2. Invitation Letter: A letter of invitation from the person you will be visiting.

Additional Documents for Business Visits

  • Invitation Letter: A letter of invitation from the company you are visiting, detailing your personal information, the duration of your stay, and the purpose of your visit.

  • Proof of Business Relationship: Evidence of recent business interactions with the company, such as bills of lading, letters of credit, receipts, contracts, or correspondence.

  • Ticket/Payment Receipt: If attending a commercial fair or congress, provide proof of attendance, such as an invitation letter from the event organizer or a receipt for the registration fee.

Document Translation: All forms and documents must be in Swedish or English. For documents in Bangla, an authorized translator must translate them into English.

Belgium Visa Processing Time in Bangladesh

The processing time begins once you submit your documents and biometrics at the VFS Global office. They will then forward your application to the embassy for a visa decision.

As the Embassy of Sweden in Dhaka handles Belgium visa applications, the processing procedure for Belgium is the same as for a Swedish visa.

Here’s the good news:

The visa processing time for Sweden is generally faster compared to other Schengen consulates in Dhaka, Bangladesh. It typically takes around 15 days, though it can take up to 45 calendar days in certain cases.

You can apply for a Schengen visa up to 6 months before your intended travel date. Seafarers can apply 9 months in advance, with the minimum application period being 15 days.

Once the embassy makes a decision on your visa, VFS Global will notify you via email and SMS, instructing you to collect your passport.

Visa Application Tracking & Passport Collection

You can track the progress of your visa application online through the VFS website during the processing period.

Once your passport is ready for collection, you can either pick it up in person or send an authorized representative to collect it on your behalf. Ensure that the representative brings a photocopy of your passport and the receipt you received during the application.

If your visa application is approved, you will receive your passport with a visa sticker. The sticker will include details such as the visa validity, the number of days you are permitted to stay, and the date by which you must depart from the Schengen Area.

Make sure to verify the details on the visa sticker immediately. If you find any errors, inform the VFS staff right away.

If your visa application is denied, you will receive a letter explaining the reasons for the refusal and outlining your rights to appeal.
